# How to Audit Your HubSpot Account Like a Pro Before Q4 Ends

## Why a Regular Audit Matters

HubSpot accounts have a way of quietly accumulating clutter over time. A workflow gets built for a campaign that ended months ago and never gets turned off. A list gets created for a one time project and stays in the account long after it served its purpose. None of this happens because anyone did anything wrong. It is simply what happens when a tool gets used every day without a dedicated moment to step back and review it.

A regular audit is how you catch this before it becomes a bigger problem. It does not need to be a massive undertaking, and it is not something that only makes sense at the end of the year. Whether you are reading this in October or in June, the same review process applies. Here is what to look at.

### Start with Contact Data Quality

Your contact database is the foundation everything else sits on top of, so it is the right place to start. Look for obvious signs of decay, such as contacts with no email activity in a year or more, duplicate records for the same person, and properties that are blank when they should have been filled in automatically. None of this needs to be fixed all at once, but knowing the scope of the problem is the first step.

It also helps to check whether your required properties are actually being captured consistently. If half your contacts are missing a field you rely on for segmentation or reporting, that gap is worth addressing before it grows any wider.

### Review Active Versus Inactive Workflows

Open your workflows list and look honestly at how many are still active. It is common to find workflows that were built for a specific promotion or seasonal push and simply never got turned off afterward. These leftover workflows are not just clutter. They can still be running in the background, sending emails or updating properties in ways that no longer make sense for your current business.

Go through each active workflow and ask whether it still serves a purpose. If it does, confirm the enrollment criteria and actions still match how you actually operate today. If it does not, turn it off or archive it. This single step often surfaces the most immediate, visible wins of the whole audit.

### Clean Up Unused or Outdated Lists

Lists tend to multiply quietly. Someone builds one for a specific campaign, another gets created to test a segmentation idea, and over time the list panel becomes a long scroll of names that no longer mean anything to the current team. Go through your lists and note which ones are actively used in a workflow, report, or email send. Anything that is not connected to a current process is a candidate for deletion or archiving.

This step matters more than it might seem, because a cluttered list panel makes it harder for your team to find and trust the lists that actually matter. A cleaner account is a more usable account.

### Check Form Performance

Forms are easy to set up once and forget about, but their performance can quietly decline over time as your website changes or your audience shifts. Pull up your form analytics and look at submission rates over the past several months. A form that used to convert well but has dropped off may need a fresh look at its placement, its length, or the offer attached to it.

This is also a good moment to check that form notifications are still going to the right people and that submissions are still connecting correctly to the workflows and lists they are supposed to trigger.

### Assess Pipeline Health

Your sales pipeline should reflect reality, but it is common for deals to sit in a stage long after they have gone cold, simply because nobody moved them along or marked them lost. When your deal data does not match what is actually happening with your prospects, your forecasting stops being useful, and that has real consequences for planning ahead. A deal stuck in a stage from three months ago is quietly skewing every report that pulls from your pipeline.

Take some time to go through open deals and update anything that is stale. Close out deals that have gone quiet, correct close dates that have clearly passed, and make sure deal amounts reflect current numbers rather than early estimates.

### Revisit Your Reporting Dashboards

Finally, look at the dashboards your team actually checks. Are they still showing the metrics that matter most right now, or are they leftover from an earlier stage of the business? A dashboard that was built a year ago might be tracking goals that have since changed, while missing the numbers that would actually be useful today.

This is a good time to trim dashboards down to the reports that genuinely get used, and to make sure the ones your team relies on are pulling accurate, current data. It might be worth reviewing what a strong reporting setup should include as part of this step, since a dashboard is only as valuable as the decisions it actually helps you make.

### Set a Rhythm for the Next Audit

An audit is far more useful as a habit than as a one time event. A HubSpot account that was cleaned up once and never revisited will eventually drift back into the same clutter it started with, since new campaigns, new team members, and new processes keep introducing fresh workflows, lists, and properties over time.

Setting a simple rhythm, such as a quick review every quarter with a deeper pass once a year, keeps small issues from ever building up into a large project again. It does not need to be elaborate. Even a short recurring calendar reminder to revisit this checklist is enough to keep an account in noticeably better shape than one that only gets attention when something breaks.

### Turning the Audit into Real Progress

None of these steps require a huge block of time if you approach them one at a time rather than all at once. Even spending an hour on contact data one week and an hour on workflows the next adds up to a meaningfully cleaner account.
